IASEAI — Building a Global AI Safety & Ethics Community at Scale
When a field doubles in size in a year, the way people come together matters. Since its launch in November 2024, the International Association for Safe and Ethical AI (IASEAI) has rapidly become a central convening force in the AI safety & ethics ecosystem. With growing global attention, institutional involvement, and urgency, how do you design gatherings that don’t just keep up with the field, but actively shape it?
That’s where Camlin came in.
IASEAI weren’t wanting to just ‘deliver conferences’. It was about building a movement.
This meant:
- Coordinating across stakeholders spanning academia, government, and leading research organisations
- Designing programmes that balanced technical depth, policy relevance, and accessibility
- Managing rapid growth in submissions, attendance, and expectations
- Delivering at prestigious, high-complexity venues such as the OECD and UNESCO House in Paris
- Ensuring every decision — from speaker selection to room layout — aligns with a clear theory of change
The aim was to convene people to create moments that would define relationships, shape research agendas, and influence global coordination on AI safety & ethics.
Camlin partner with IASEAI as a strategic delivery partner.
We work across:
- Strategic priorities & programme design
Advising on session formats, speaker curation, and how to translate complex ideas into meaningful, outcome-driven conversations - End-to-end delivery of flagship conferences
From submissions infrastructure and review processes to onsite execution, volunteers, AV, VIP events and stakeholder management - Multi-institution coordination
Acting as a central node across partners including international organisations, ensuring clarity, alignment, and accountability - Decision-making under pressure
Supporting the team through high-stakes trade-offs with calm, structured guidance, always anchored in impact - Resource stewardship
Designing solutions that were not just high-quality, but cost-effective and proportionate, ensuring the organisation’s funds were used wisely
Throughout, we operated as an extension of the IASEAI team to bring rigour, judgment, and deep subject-matter understanding to every layer of the work.
Across two flagship conferences:
- The community scaled significantly, both in size and global reach
- Programme quality and coherence were consistently praised by participants and speakers
- Complex processes — from submissions to programme delivery — ran smoothly under increasing pressure
- IASEAI strengthened its position as a trusted, central platform for AI safety dialogue
Most importantly, the conferences have accelerated the field’s ability to coordinate, collaborate, and move forward together.
“Camlin has supported us across everything from strategic priorities and program development to complex coordination across institutions and partners. They have advised us on difficult decisions, remain focused on impact, and maintain confidence that the process will lead to meaningful outcomes for the field.
Camlin’s deep commitment to our mission has made them a trusted partner in building this global community.”
What made this partnership successful:
- Deep integration — we weren’t external suppliers, but a trusted extension of the team
- Clarity of purpose — every decision tied back to impact and long-term field-building
- Attention to detail at scale — from high-level strategy to the smallest participant touchpoint
- Professional judgment — knowing when to push, when to adapt, and how to navigate complexity
